Privacy policy

This policy explains what Reviewgent collects, why, and what we never do with it. It covers both business owners with an account and customers who scan a QR code.

What we collect from business owners

When you sign up we store your name, email address, password (hashed), business name and category, the services you list, your Google review link, and a logo if you upload one. If you subscribe, our payment processor handles your card details; we only see the last four digits and the billing status.

What we collect when a customer scans

A scan records the star rating, the service the customer tapped, any highlights they selected, the draft text produced, whether they continued to Google, and the time it happened. If a customer sends private feedback, we store what they wrote and any contact detail they choose to add.

We do not ask a customer for their name, email or phone number to leave a review
We do not track customers across other websites
We do not link scans to an identity or build customer profiles

Technical data

Like any website we log IP address, browser type and pages visited for security and troubleshooting. Logs are kept for 30 days.

How draft reviews are generated

The agent's follow-up questions and the draft review are produced by an AI language model from the rating and answers the customer gave, plus your business name and category. That input is sent to our model provider to produce the response and is not used to train their models. No customer identity is included. If the model is unavailable, a plain template fills in instead so the flow never breaks.

Why we process this data

To run your account and produce your QR code, to show you scan and review counts, to deliver private feedback to you, to take payment, to prevent abuse, and to answer support requests.

What we never do

We do not sell personal data, we do not share it with advertisers, and we never post a review on a customer's behalf. Posting always happens in the customer's own Google account.

Who we share data with

Only the service providers we need to operate: hosting, database and error monitoring, the payment processor, the AI model provider for the agent's questions and draft generation, and email delivery for notifications. Each is bound by a data processing agreement. We also disclose data if the law requires it.

How long we keep it

Account and scan data are kept while your account is open and deleted within 30 days of closure. Private feedback can be deleted from your dashboard at any time. Invoices are kept for as long as tax rules require.

Your rights

You can ask for a copy of your data, correct it, have it deleted, or object to how we use it. Email info@reviewgent.com and we respond within 30 days. Depending on where you live you may also have the right to complain to your data protection authority.

Cookies

We use one essential cookie to keep you signed in and a privacy-friendly analytics cookie to count page visits. No advertising or third-party tracking cookies are set. The customer scan page sets no cookies at all.

Children

The service is for businesses and is not directed at anyone under 16. We do not knowingly collect data from children.

Security

Data is encrypted in transit and at rest, passwords are hashed, and access to production data is limited to the people who need it. If a breach affects you we will notify you and the relevant authority as required.

Changes and contact
